Work permit system

Safety is one the highest priorities in almost every organization. Therefore many organizations use a work permit system. JPB IT Solutions’ work permit module ensures that this process is digitized, structured and more efficient.

The work permit module is explicitly designed to relieve the workload of employees as it shifts the majority of the responsibility to the one requesting a work permit: He is responsible for the actual execution of the job.

The requester (no matter if this is an internal employee or an external company) is well aware of the applicable safety regulations and conditions he comes across and it makes sense that he will carefully consider all possible dangers. This makes the requester exceptionally suitable for providing the basis for the final work permit.

This module is completely web based. The requester can only access the module online when authorized by you.

How does it work?

Each request is submitted through the online portal. The requester describes:

  • At which location
  • Which tasks he will execute
  • Which measurements he will take to execute the tasks safely
  • Which tools he will bring along

When the request has been submitted, the work permit will be authorized with a digital signature. The system will track which people have contributed to the realization of the work permit in a log.

As soon as the authorization of the work permit is finalized and printed, the work permit is visible at the site. The work permit will also show the house rules your company maintains.

Timesheet registration

With the time sheet registration module each employee is able to submit his working hours, time off and sick leave to the administration digitally. How does the time sheet registration module work? Employees can submit their working hours and travel time from each type of mobile device as well as their work environment by using their own online portal.

As soon as the hours are submitted, their manager receives a notification e-mail. The manager can check the submitted hours simply by opening the mail and either approve or correct the hours. When approved, the employee will receive an e-mail with the final hours. The hours will be coded based on your company and Collective Labour Agreement. Employees can also submit their leave requests on the time sheet registration module.

Who can use the time sheet registration module?

Every organization. The time sheet registration module is especially cost reductive when your company is passing on the working hours costs. Project numbers can be added to this module. All worked hours are automatically added to project administration / billing.

Private server on your location

JPB IT Solutions provides you with a free of charge local server which enables you and your employees to work at a location of your choice. On your desk there will be a simple and energy efficient mini-pc (also known as: thin client), a monitor, a wireless keyboard and mouse installed. The thin client connects to your local server to ensure your data stays within your company. The advantage compared to working in the Cloud is the internet independency, even without a internet connection you can keep working. 

Flexibility

Having a local server does not mean you have to work locally. A safe VPN (Virtual Private Network) connection with your server allows you to work on numerous locations whilst still having access to your data.

VoIP is the abbreviation of Voice over IP, meaning: making calls over the internet. The requirements for this setup consists of only two things: a stable internet connection and suitable phones. Before this service can be used the phone has to be connected to power and JPB will take care of the correct settings of the base station and the server it connects to. After this quick installation the phones are ready for use.

Private Cloud Desktop versus Cloud Desktop

A Cloud desktop environment has a lot of benefits. You do not have to invest in hardware or need a system administrator, this is all included. Daily back-ups are made and your system is safely secured.

There are a lot of companies that offer that a Cloud desktop solution (online work spaces) Most of the time your applications run on a computer in a data center that is on a remote location. All your data is saved externally, in fact you are not the owner of your own data anymore. If you ever decide to move to a different provider it is common to ask your supplier to return your data.

JPB IT Solutions offers you a way to enjoy all the benefits of Cloud computing and keep control over your own applications and data. We call this the Private Cloud Desktop solution.

Private Cloud Desktop 

With the Private Cloud Desktop solution all applications run on a local server provided by JPB IT Solutions. (This is included in the price of a work space). JPB takes care of the maintenance and administration of your server. All your data is saved locally at your company and a daily back-up is made. To ensure that the data is never lost a daily and monthly back-up is made at our data centers. This data is encrypted. Only with your key and password the data can be accessed. This is called Disaster recovery.

Private Cloud Desktop gives you the opportunity to work within your company in a closed and secure space that can be reached from home or any other location. This is possible for € 20,- per user per month. See Prices JPB IT.


Consultancy

Arranging a work space is only the beginning of the automation within your company. You will need applications that can automate your financial, project and logistic administration or other business processes. These applications can be installed on the provided local server. But to achieve optimal usability they will have to be arranged first.

Our IT consultants are educated and have knowledge of automation and business economic processes. They are capable to assist you with installing and arranging of all applications.They are at your service at an hourly rate of € 95,- (travel and staying costs not included)


Applications

There are a lot of applications out there. JPB IT Solutions has developed several applications specifically for different industries that can improve the efficiency of your company. We are open to improvement of our software. If you have specific wishes our developers are able to add these to our standard software. The applications are delivered in the image of your company to ensure that your employees are working in a familiar work space.

Work permit system

Safety has one the highest priorities in almost every organization. Many organizations therefore use a work permit system. Before activities can take place a work permit has to be created first. JPB IT Solutions has developed an application where your supplier can make an online request for a work permit. Within the decided format the supplier describes the activities and the corresponding safety measures. The permit will then be checked for inconsistencies and when it is complete be approved. It is possible to print the work permit instantly by the supplier and taken with to be signed by your staff or can be sent to you digitally. The result? The technical department is less involved and has more time for other activities. The most part of the work permit is written by your supplier. This way you will prevent delay in activities because the suppliers do not have to wait for the permit.


Time sheet registration system

All your employees can now submit their hours through a web based application on their smart phone, tablet or laptop. Leave requests and vacation can also be requested via the same app. As soon as the hours are submitted, their manager receives a notification e-mail. The manager can check the submitted hours simply by opening the e-mail and either approve or correct the hours. When approved, the employee will receive an e-mail with the final hours. All mutations from the time sheet registration system are translated to codes that can be read by your project administration and / or salary administration. Administrative costs can be saved immensely. There are no great investments required to use the application. You pay a fixed amount of € 4.50,- per user, per month.


Intranet
Wanneer uw bedrijf groeit, is het vaak prettig dat u uw medewerkers op de hoogte kunt houden van diverse ontwikkelingen binnen uw bedrijf. Of het nu gaat om grote opdrachten die u heeft binnengehaald, introduceren van nieuwe werknemers of ander nieuwe ontwikkelingen die u wilt delen met uw medewerkers. JPB IT Solutions heeft een applicatie ontwikkeld waar u dit nieuws onder de aandacht kan brengen van uw werknemers wanneer zij inloggen in diverse programma's. Het laatste nieuws wordt in een zijbalk getoond. Uw werknemers zullen intranet dagelijks gebruiken en zo goed op de hoogte blijven van alle ontwikkelingen binnen het bedrijf.

Toegangscontrole
De klassieke manier van toegangscontrole werkt met een sleutel of is een systeem met pasjes. JPB IT Solutions heeft een systeem ontwikkeld waarbij de mobiele telefoon wordt gebruikt. Door te bellen naar een centraal nummer wordt aan de hand van het bellersnummer bepaald of een gebruiker toegang heeft tot een bepaald terrein of ruimte. Tevens wordt een logboek bijgehouden waarin geregistreerd staat wanneer de ruimte is betreden en verlaten.

Document Management Systeem (DMS)
Paperless office, dat is wat we steeds meer als eis stellen. Om aan deze eis invulling te kunnen geven heeft u een goed systeem nodig om uw digitale data te kunnen archiveren. JPB IT Solutions levert een programma die u helpt uw data op een overzichtelijke manier te archiveren. Een systeem waarin u kunt vastleggen welke persoon of welke functie bevoegd is diverse data te bekijken of te muteren. Dit systeem is uiteraard inbegrepen met zoekfuncties waardoor u ook door middel van trefwoorden documenten kunt zoeken.


VoIP

Telefonie vindt tegenwoordig vrijwel geheel plaats via een internet verbinding. Dit noemt men Voice over IP (VoIP). Hiervoor heeft u software nodig en ook hardware (VoIP toestellen). JPB levert de software en zal u assisteren bij het inrichten van deze telefoonsoftware. Hierbij is veel mogelijk, zoals Call flows maken en keuzemenu's. JPB IT Solutions durft te stellen dat zij met haar tarieven behoort tot de goedkoopste in de markt. Waarschijnlijk leidt invoeren van ons VoIP systeem bij uw bedrijf tot aanzienlijke kosten besparing.


Hardware

Een server maakt deel uit van de Private Cloud Desktop. Hier zijn geen extra kosten aan verbonden. JPB IT Solutions zorgt ook voor reparatie of vervanging indien de server defect is.

Werkplek
Om met de Private Cloud Desktop te kunnen werken moet u de beschikking hebben over één of meerdere schermen, een toetsenbord met muis en een Thin Client. Veel klanten beschikken reeds over deze hardware, indien dit niet het geval is kan deze worden gehuurd bij JPB IT Solutions voor een bedrag van € 17.50,- per maand.

Camera’s
Ter beveiliging van uw locatie en gebouwen levert en installeert JPB IT Solutions camerasystemen. De software om de beelden van de camera’s te bekijken wordt geïntegreerd in uw desktop omgeving.

 

MDI

Most MDI producers choose to export to Europe in bulk and use an external party to drum their product. Due to our location and efficiency, we're the perfect partner for any company that wishes to increase it's European market share. We have worked and continue to work for major MDI producersand distributors, who use our services to increase their drumming capacity, or to reach clients they couldn't reach before.

Inbound logistics

We have access to the sea, inland waters and excellent road connections all around. We also own storage tanks for bulk, so we can receive multiple truck loads or ISO containers at once, further reducing logistical costs.

Operations

Once the product has arrived at our storage and drumming facility, we connect the container or storage tank to the drumming line. Depending on your preferences we then fill the barrels and / or IBC's. Drummed product can be sent out right away, or stored for later use.

Outbound logistics

For outbound logistics our clients enjoy the same options as for inbound logistics: a connection to the sea, inland waters and exellent road connections all around. To further ensure a smooth and efficient transportation to your clients, we use an advanced automated system to eliminate human errors on both ends.

MDI

JPB is specialized in storing, handling and drumming of MDI products also known as isocyanate. For this purpose we have several storage tanks available in Farmsum which are isolated and can be heated by means of electrical tracing in order to keep the product on the desired temperature. Next to this a nitrogen blanket can be placed above the product in order to guarantee the quality of the product. These storage tanks are connected directly to our drumming installations for both drums as well as IBC’s. If required, the drummed material can be stored in our isolated warehouse during the winter period.

Inbound logistics

Our location in Farmsum is situated approximately five kilometers from the harbor of Delfzijl and is connected to an excellent road network. If required, the MDI can be supplied via the harbor of Delfzijl and JPB can take care of the (multi-modal) logistics for you. This has proven to be a very cost effective solution.

Operational actions

The MDI can be filled from both the storage tanks as well as directly from the ISO containers. The drummed product can either be stored in our adjacent warehouse or it can be shipped directly to your customers.

Outbound logistics

The outbound logistics can also be fully taken care of by us. For this purpose the excellent connections with the inland sea and road network are available for you. In order to ensure that the logistics to your customers goes efficient and smooth, we make use of advanced automated systems in order to eliminate human errors as much as possible.
